What data we collect
We only collect what's needed to make the whiteboard work.
- →Board content — your drawings, sticky notes, and shapes are saved so collaborators see the same board and your work persists between sessions.
- →Room ID — a random string tied to your Meet conference, used to match you to the right board. Not personally identifiable.
- →Google account — if you sign in with Google, we store your name, email, and profile picture to link boards to your account.
- →Waitlist email — if you join the waitlist, we store your email to notify you when early access opens. Nothing else.
Google Meet integration
When you use the Meet add-on, we retrieve your Google Meet conference ID to connect you to the correct shared whiteboard. We do not access any other meeting data, and we do not access your Google contacts, calendar, or email. Our use of Google data follows the Google API Services User Data Policy, including the Limited Use requirements.
How we use your data
We use your data to run and improve the whiteboard. Specifically: board content is used to render your whiteboard, your Google account information is used for authentication and to link boards to your account, and conference IDs are used to connect meeting participants to the same shared board. If that ever changes, we'll update this policy and let you know first.
Data sharing and disclosure
We do not sell, rent, trade, or otherwise transfer your Google user data to third parties. We do not disclose your data to other organisations or individuals, except in the following circumstances:
- →Service providers — we use trusted infrastructure providers to host and operate the service. These providers process data on our behalf and are contractually prohibited from using your data for their own purposes.
- →Legal requirements — we may disclose data if required by law, regulation, or valid legal process.
We do not use Google user data for advertising, marketing, or any purpose unrelated to providing and improving the whiteboard.
Data protection
We use industry-standard security measures to protect your data, including encryption in transit and at rest, access controls that restrict data to authorised users, and minimal data collection practices. We only collect the data necessary to provide the service, and we regularly review our security practices to ensure your information is protected.
Data retention and deletion
We retain your data only as long as necessary to provide the service:
- →Google Meet conference IDs — used in real time to connect participants to the correct board and not stored after the session ends.
- →Board content — retained until the board owner deletes the board, or until you request deletion.
- →Account data — your Google name, email, and profile picture are retained while your account is active. When you revoke access or request deletion, we will remove your account data promptly.
You can request deletion of your data at any time by emailing info@ameliaspace.com with your account email or room ID. You can also revoke access to your Google account via your Google Account permissions.
Changes
If we change this policy in a meaningful way, we'll update the date at the top and let you know.
